Inserting the Document Revision Number

Summary: Need to know how many times your document has been saved? Word keeps track of this information, and makes it easily accessible through the use of a field. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

Every time you save a document in Word, the information in the document properties is updated. Part of the information is a count of how many times the file has been saved. This is referred to as the revision number. You can insert the revision number in your documents and have it updated automatically, if you so desire. To insert the revision number in your document, follow these steps:

  1. Position the insertion point where you want the revision number to appear.
  2. Choose Field from the Insert menu. Word displays the Field dialog box. (Click here to see a related figure.) (To display the Field dialog box in Word 2007, make sure the Insert tab of the ribbon is displayed, and then click Quick Parts in the Text group. In the resulting choices, choose Field.)
  3. In the Categories list, choose Numbering. Word updates the choices in the Field Names list.
  4. In the Field Names list choose RevNum.
  5. Click on OK to close the dialog box and insert your field.
