Turning On Property Information Prompting

Summary: You may want to make sure that users of a document fill in the properties associated with a document. In most versions of Word, you can configure the problem to require this information, or at least prompt the user for the information before the document is saved. (This tip works with Microsoft Word 97, Word 2000, Word 2002, Word 2003, and Word 2007.)

Whenever you save a document to disk, Word appends summary information that is used to identify the file and its contents. This summary information is a collection of properties also used by the file management utilities and can be accessed by special Word fields. If you find yourself using these properties, then you may want Word to prompt you to fill in this information when you first save your document. You can enable the prompting for document properties by performing the following steps in any version of Word previous to Word 2007:

  1. Choose Options from the Tools menu. You will see the Options dialog box.
  2. Make sure the Save tab is displayed. (Click here to see a related figure.)
  3. Click on the Prompt for Document Properties check box.
  4. Click on OK.

If you are using Word 2007, there is no specific control that "turns on" prompting for properties. This means that you cannot make Word prompt you to fill in the properties; it is something you will need to manually remember to do when creating a new document.
